Opening or running a dental practice in Austin means managing federal income and payroll taxes, Texas franchise-related filings, local business personal property reporting, and sales or use tax on qualifying purchases. Austin itself does not impose an income tax on your practice.

For a solo dental PLLC in Travis County, that may mean filing a rendition with the Travis Central Appraisal District each April, completing applicable Texas Comptroller reporting each May, and maintaining the federal tax filings required by your entity election. Practices with employees also have payroll and unemployment tax responsibilities.

Dental Accounting Group (DAG) provides remote bookkeeping, integrated tax preparation and planning, and financial advisory services to Austin dentists. Since 1990, our firm has focused exclusively on dentistry and has helped more than 600 dentists start or acquire dental practices.

Specialized Dental Accounting for Austin Practice Owners

Dental practice accounting involves more than reconciling a bank account. Production and collections, insurance reimbursement timing, provider compensation, laboratory costs, and equipment financing all influence financial performance.

DAG helps dentists turn accounting records into useful information for managing expenses, planning for taxes, and evaluating future investments.

Whether you're opening a practice near Mueller, operating an established office in Westlake, or evaluating an acquisition in North Austin, our dental-focused accounting team can help you understand the numbers behind your decisions.

Look Beyond the Purchase Price

Acquiring an Austin dental practice requires more than reviewing collections or an asking price. Historical profitability, lease obligations, equipment condition, staffing, and debt service all influence the financial outlook.

DAG helps prospective owners review financial information and evaluate whether projected cash flow can support the purchase.

For existing owners, similar financial analysis can support decisions about adding providers, expanding treatment capacity, or opening another location.

Acquisition planning may include:

  • Historical financial performance
  • Practice overhead and profitability
  • Cash flow and debt service analysis
  • Working capital requirements
  • Post-acquisition accounting setup

Austin Dental Practice Tax and Regulatory Requirements

Running a solo dental PLLC in Austin involves recurring local, state, and federal tax responsibilities. A Travis County practice may have an April equipment rendition, May franchise-related reporting, federal income and payroll filings, and sales or use tax on taxable equipment and supplies.

The Local Tax Picture in Austin

Austin does not impose a city income tax or a general business gross-receipts tax on dental practices. Texas also has no general statewide business license, although professional licensing, development permits, occupancy approvals, and other activity-specific requirements may apply. The Texas Business Permits Office provides guidance, while the Austin Development Services Department addresses local development and permitting.

The combined sales tax rate on taxable purchases within Austin is generally 8.25%, consisting of 6.25% state tax, 1% City of Austin tax, and 1% Capital Metro tax. The rate and applicable local jurisdictions should be confirmed for the specific delivery address through the Texas Comptroller's local sales tax resources.

Travis County Equipment Renditions

The Travis Central Appraisal District (TCAD) receives business personal property renditions for qualifying assets located in Travis County on January 1. Dental assets may include operatory chairs, digital scanners, CBCT imaging equipment, sterilizers, computers, furniture, instruments, and supplies.

Renditions generally include the business name, asset descriptions, acquisition dates, original costs, and valuation information. The standard filing deadline is April 15. A timely written extension request generally extends the deadline to May 15, with a further extension potentially available for good cause under Texas law.

TCAD has indicated that its online rendition portal does not accept late submissions. Practices that miss the online deadline should contact TCAD about alternative submission methods rather than assume the reporting obligation disappears.

Failure to file a required rendition may result in a 10% penalty on taxes imposed on the property under Texas Tax Code §22.28.

Texas Franchise and Sales Tax

Texas does not impose an individual state income tax. For 2026 franchise tax reports, the no-tax-due threshold is $2.65 million in annualized total revenue. Eligible entities below the threshold generally owe no franchise tax and do not submit a No Tax Due Report.

However, many dental PLLCs must still submit a Public Information Report, generally due May 15. Above-threshold entities may owe franchise tax calculated using the applicable margin rules and tax rate. The general franchise tax rate for nonretail and nonwholesale businesses is 0.75%, applied to taxable margin rather than automatically to gross receipts.

Dental treatment generally is not an enumerated taxable service in Texas, but taxable supplies and equipment purchased by a practice may be subject to sales tax. Qualifying out-of-state purchases may also trigger Texas use tax.

Startup Costs and Cash Flow

Austin dental startups often face substantial upfront commitments for leasehold improvements, digital equipment, staffing, and financing. Financial forecasts help owners evaluate how long available capital can support operations before collections reach a sustainable level.

A Texas PLLC generally has a $300 certificate of formation filing fee. Owners should also consider tax registrations, federal elections, development permits, and their first applicable appraisal district and franchise-related reporting deadlines.

DAG helps new practice owners evaluate financing assumptions, establish bookkeeping systems, and plan for the cash flow effects of equipment purchases and startup expenses.

2026 property exemption: Following the 2025 Proposition 9 approval, qualifying income-producing tangible personal property may benefit from a $125,000 exemption beginning with the 2026 tax year. This can reduce taxable property value for a smaller dental practice. Owners should confirm whether TCAD requires a rendition, certification, or other supporting information.

Austin spans multiple counties: Depending on the office's physical location on January 1, the correct district may be the Travis Central Appraisal District, Williamson Central Appraisal District, or Hays Central Appraisal District.

Sales and Use Tax on iTero, CEREC, and Other Dental Technology

Digital scanners, milling systems, imaging equipment, and supplies purchased from out-of-state vendors may be subject to Texas use tax when the seller does not collect the applicable sales tax. For taxable equipment delivered within Austin, the combined rate is generally 8.25%, with credit potentially available for qualifying taxes properly paid to another state.

Dental prosthetics and certain qualifying devices may receive different treatment under Texas Tax Code §151.313. The exemption should be evaluated for the specific item; the tax treatment of a patient-specific prosthetic does not necessarily extend to the scanner or milling machine used to produce it.

Sole Proprietor First, S Corporation Later?

Because Austin and Texas do not impose individual income taxes, the decision to operate with sole proprietor tax treatment or elect S corporation status is primarily driven by federal tax considerations.

Some startup dentists initially use Schedule C reporting and consider an S election once profits can support reasonable owner compensation and the additional payroll and administrative costs. That is not a universal recommendation: the appropriate election depends on the practice's entity structure, expected earnings, payroll requirements, and tax circumstances.

An S corporation election may affect federal employment taxes, but it does not automatically eliminate Texas franchise-related information reporting. Calendar-year S corporations generally file Form 1120-S by March 15, subject to applicable adjustments and extensions.

Austin Dental Accounting Frequently Asked Questions

I'm doing a startup in Austin — what are my first-year Texas filings?

Start by forming the appropriate professional entity with the Texas Secretary of State. The Texas certificate of formation filing fee for a PLLC is generally $300. Register for any required Comptroller accounts and confirm professional licensing, local development permits, and occupancy requirements.

Two important first-year milestones are the initial Texas franchise-related filing, which may include a Public Information Report, and the first business personal property rendition after the practice's first January 1 with reportable assets. The franchise filing due date depends on the entity's formation date and first federal accounting period; a late-year formation may affect the first reporting year.

Federal elections, including an S corporation election using Form 2553, follow separate deadlines. Confirm the actual schedule with the Texas Comptroller and consult the Texas Secretary of State for formation information.

Does Austin charge a business license fee or local income tax?

No. Austin does not impose a municipal income tax or a general business gross-receipts tax, and there is no universal city business license for dental practices. Texas likewise has no general statewide business license.

However, dental offices may need professional licenses, development and construction permits, zoning approvals, and certificates of occupancy. The Austin Development Services Department provides information about local permitting.

Ongoing local costs may include property taxes on taxable business personal property and the city's portion of sales tax on qualifying purchases. Austin's portion of the combined 8.25% sales tax is generally 1% for addresses within the applicable city jurisdiction.

My equipment cost less than $125,000. Do I still deal with TCAD?

Potentially, yes. Beginning with the 2026 tax year, Texas provides a $125,000 exemption for qualifying income-producing tangible personal property. The exemption can eliminate taxable value for eligible assets, but it does not necessarily eliminate every reporting or certification requirement.

Depending on current appraisal district procedures, a practice may need to file a rendition, submit a shorter certification, or provide information requested by the chief appraiser. Keep equipment purchase records, acquisition dates, and cost information even when the exemption appears to cover the practice's assets.

Confirm the applicable process with the Travis Central Appraisal District before assuming no filing is needed.

Is my iTero or CEREC purchase taxable if I bought it out of state?

Dental scanning and milling equipment purchased from an out-of-state seller may be subject to Texas use tax if the vendor does not collect the appropriate sales tax. For taxable equipment delivered within Austin, the combined rate is generally 8.25%.

Credit may be available for qualifying sales or use taxes properly paid to another state. The dental prosthetics produced for individual patients may qualify for different treatment under Texas Tax Code §151.313, but that exemption should not automatically be applied to the scanner or milling equipment itself.

Review the specific invoice and the Comptroller's use tax guidance before determining the amount owed.

Does an Austin dental practice owe Texas franchise tax?

That depends on the entity and its annualized total revenue. For 2026 franchise tax reports, the no-tax-due threshold is $2.65 million. Eligible entities at or below the threshold generally owe no franchise tax and do not file a No Tax Due Report.

Many dental PLLCs must still file a Public Information Report, generally due May 15, even when no franchise tax is owed. An S corporation election for federal tax purposes does not automatically eliminate this requirement.

Review the Texas Comptroller's franchise filing requirements for your entity and reporting year.

Should an Austin dental startup elect S corporation status?

An S corporation election may be beneficial once a practice generates sufficient profit above reasonable owner compensation, but it is not automatically the best choice for every startup.

Owners should compare potential federal employment-tax savings with payroll administration, additional tax filings, reasonable compensation requirements, and the practice's projected earnings. Texas has no individual income tax, so federal considerations generally drive this analysis.

New owners should evaluate the election with a dental-focused CPA rather than use a fixed revenue threshold as the deciding factor.

Can Dental Accounting Group serve Austin dentists remotely?

DAG is headquartered in Bellevue, Washington, and does not operate a physical Austin office. Contact our team or call (425) 739-0300 to discuss your accounting needs.
